Booking Terms and Conditions

Effective date: 16 August 2026

1. Introduction

These Booking Terms and Conditions apply to accommodation, activities, transfers and other services reserved directly through Jacaranda Bush Camp’s website or confirmed by our reservations team.

In these terms, “Jacaranda Bush Camp,” “the Camp,” “we,” “us” and “our” refer to Jacaranda Bush Camp. “Guest,” “you” and “your” refer to the person making the reservation and every guest included in it.

By completing a booking, you confirm that:

  • You are at least 18 years old.
  • You are authorised to make the reservation.
  • The information supplied is accurate.
  • You accept these terms on behalf of everyone included in the reservation.
  • You have reviewed the relevant rates, occupancy and child policies.
  • 2. Booking confirmation

    Submitting a booking request does not automatically guarantee accommodation.

    A booking becomes confirmed when:

    • The required payment has been successfully received or authorised;
    • Jacaranda Bush Camp has accepted the reservation; and
    • A booking confirmation or reference number has been issued.

    A failed, declined, incomplete or pending payment does not constitute a confirmed reservation unless we confirm otherwise in writing.

    Guests should review their confirmation immediately and report any incorrect dates, guest details, room categories or selected services.

  • 3. Guest information

    The person making the booking must provide accurate information, including:

    • Full name.
    • Contact information.
    • Check-in and check-out dates.
    • Number of adults, children and infants.
    • Ages of all children.
    • Any accessibility, dietary or medical information relevant to the stay.

    Guest ages are determined as of the scheduled check-in date.

    Jacaranda Bush Camp may correct or reject a reservation containing inaccurate guest numbers, incorrect ages or an occupancy that exceeds the selected accommodation’s limits.

  • 4. Rates and currency

    Unless stated otherwise:

    • Rates are quoted in US dollars.
    • Accommodation prices are charged per room, per night.
    • Prices depend on the room category, season and selected guest combination.
    • High- and low-season rates may apply within the same reservation.
    • Each night is charged according to the season covering that night.
    • Optional services and experiences are added separately.
    • Any applicable taxes or additional charges will be disclosed during booking or in the confirmation.

    Where a bank or payment provider converts the transaction into another currency, its exchange rate and transaction fees may apply. Jacaranda Bush Camp does not control fees imposed by the guest’s bank or payment provider.

  • 5. Pricing errors

    We take reasonable care to display accurate prices. However, a clear technical, typographical or calculation error does not create an obligation to provide accommodation at an obviously incorrect price.

    If a material pricing error is discovered before arrival, we will notify you and offer the choice of:

    • Confirming the booking at the correct price;
    • Selecting a suitable alternative, where available; or
    • Cancelling and receiving a refund of amounts paid directly for the affected accommodation.

    We will not change a correctly confirmed price merely because the applicable rate later increases.

  • 6. Payment

    The amount payable, deposit requirements and payment deadline will be displayed during booking or stated in the booking confirmation.

    You authorise the selected payment provider to process the amount shown at checkout.

    A reservation may be cancelled if:

    • The required payment is not received by the stated deadline;
    • A transaction is declined or reversed;
    • A payment is reasonably suspected to be fraudulent; or
    • The guest initiates an unjustified chargeback after receiving a valid confirmation.

    The guest remains responsible for all properly disclosed outstanding amounts relating to the reservation.

7. Cancellations, amendments and refunds

The cancellation, amendment, no-show and refund conditions presented during booking or stated in the confirmation form part of these terms.

Before payment, guests should review:

  • The cancellation deadline.
  • Any non-refundable deposit.
  • The amount chargeable for late cancellation.
  • The amount chargeable for a no-show.
  • Whether date changes are permitted.
  • Any administrative or rate difference applicable to amendments.

Cancellation requests should be submitted through the contact details shown on the website or booking confirmation.

A cancellation is effective when it has been received and acknowledged by Jacaranda Bush Camp.

Where a refund is approved:

  • It will normally be returned through the original payment method.
  • Properly disclosed non-refundable charges may be deducted.
  • Bank and payment-processing times may affect when the funds appear.
  • Currency fluctuations may cause the refunded amount to differ when converted by a bank or payment provider.

Bookings made through a travel agent or third-party platform are governed by that provider’s cancellation and refund conditions.

8. Changes requested by guests

Requests to change dates, guest numbers, accommodation categories or services are subject to availability.

An amendment may result in:

  • A higher seasonal rate.
  • A different room rate.
  • Child-policy adjustments.
  • Additional service charges.
  • Application of the confirmed cancellation or amendment policy.

A requested change is not confirmed until Jacaranda Bush Camp issues written confirmation.

9. Changes or cancellation by the Camp

If we cannot provide confirmed accommodation because of an operational problem, closure, overbooking or another circumstance within our responsibility, we will take reasonable steps to offer:

  • Comparable alternative accommodation;
  • Alternative dates; or
  • A refund of amounts paid directly for services we cannot provide.

Any additional remedy will be determined by the circumstances and applicable Kenyan law.

10. Check-in and check-out

The applicable check-in and check-out times will be shown in the booking confirmation.

Early check-in and late check-out:

  • Must be requested in advance.
  • Are subject to availability.
  • May attract an additional charge.
  • Are not guaranteed unless confirmed in writing.

Guests arriving later than expected should notify the Camp. Failure to arrive without notice may be treated as a no-show under the applicable booking conditions.

Valid identification may be required during check-in.

11. Room occupancy

Guests must not exceed the confirmed occupancy of their selected accommodation.

Standard Rooms, Tents, Superior Cottages, Deluxe Cottages and Tree Rooms generally allow:

  • A minimum of two guests.
  • A maximum of four total guests.
  • A maximum of three adults.
  • A maximum of two children.
  • A maximum of two infants, provided an adult is present.

Single Accommodation accepts only:

  • One adult.
  • One adult with one child.
  • One adult with one infant.
  • One adult with up to two infants.

Jacaranda Bush Camp may require additional accommodation where the selected party exceeds the permitted occupancy.

12. Child and infant policy

For accommodation pricing:

  • Infants are guests aged 0–2.
  • Children are guests aged 3–11.
  • Guests aged 12 and above are adults.

A maximum of two infants may stay free when sharing with an adult, subject to room capacity.

Children sharing with two adults are charged 50% of the adult-sharing rate.

One child sharing with one adult is charged the applicable adult-sharing rate.

Two children occupying their own private room are charged a combined total of 75% of the applicable double-room rate.

Parents and guardians remain responsible for the supervision, safety and behaviour of children throughout the stay.

13. Full-board accommodation

Where a reservation is described as full board, it includes:

  • Overnight accommodation.
  • Breakfast.
  • Lunch.
  • Dinner.

Meals are provided according to the Camp’s operating schedule. Guests should communicate dietary requirements before arrival.

We will take reasonable steps to accommodate dietary requests, but we cannot guarantee an environment completely free from allergens.

14. Excluded services and charges

Unless expressly included in the booking confirmation, accommodation rates do not include:

  • National park, reserve or conservation fees.
  • Private or shared game drives.
  • Airstrip or road transfers.
  • Bush breakfasts or dinners.
  • Cultural visits.
  • Horseback experiences.
  • Travel insurance.
  • Medical expenses.
  • Personal purchases.
  • Other optional activities.

Guests are responsible for checking current park and conservation requirements before travelling.

15. Optional activities and transfers

Activities, excursions and transfers are subject to:

  • Availability.
  • Weather and environmental conditions.
  • Minimum or maximum participation requirements.
  • Safety assessments.
  • Third-party operating schedules.

Guests must follow the instructions of guides, drivers and authorised staff.

Where an activity is provided by an independent operator, that operator’s terms may also apply. Nothing in this section excludes any responsibility that cannot lawfully be excluded.

16. Wildlife and natural environment

Jacaranda Bush Camp is located in a wildlife environment. Wild animals, insects, uneven ground, changing weather and other natural conditions may be present.

Guests must:

  • Follow all safety instructions.
  • Avoid approaching or feeding wildlife.
  • Remain within authorised guest areas.
  • Use an escort where instructed.
  • Supervise children at all times.
  • Inform staff promptly of any safety concern.

Guests who disregard a reasonable safety instruction may be restricted from an activity or asked to leave an unsafe area.

Nothing in these terms excludes liability for negligence or another responsibility that cannot lawfully be excluded.

17. Health and travel responsibilities

Guests are responsible for:

  • Obtaining appropriate travel and medical insurance.
  • Carrying required identification and travel documents.
  • Meeting immigration and health requirements.
  • Obtaining professional medical advice before travelling.
  • Bringing necessary medication.
  • Informing the Camp about relevant accessibility or medical needs.

If a guest becomes ill or requires emergency assistance, the Camp may arrange appropriate help where reasonably possible. Any resulting third-party medical or transportation cost remains the guest’s responsibility unless otherwise required by law.

17. Health and travel responsibilities

Guests are responsible for:

  • Obtaining appropriate travel and medical insurance.
  • Carrying required identification and travel documents.
  • Meeting immigration and health requirements.
  • Obtaining professional medical advice before travelling.
  • Bringing necessary medication.
  • Informing the Camp about relevant accessibility or medical needs.

If a guest becomes ill or requires emergency assistance, the Camp may arrange appropriate help where reasonably possible. Any resulting third-party medical or transportation cost remains the guest’s responsibility unless otherwise required by law.

18. Guest conduct

Guests must behave respectfully toward other guests, employees, neighbouring communities, wildlife and property.

The following are prohibited:

  • Illegal activity.
  • Threatening, abusive or discriminatory behaviour.
  • Harassment of guests or staff.
  • Deliberate disturbance of other guests.
  • Damage to property.
  • Entry into restricted areas.
  • Conduct that creates a serious safety risk.

Jacaranda Bush Camp may take reasonable action, including ending a stay, where serious misconduct or a safety threat occurs.

Any refund in such circumstances will depend on the facts, confirmed booking conditions and applicable law.

19. Damage and loss

Guests may be required to pay the reasonable cost of repairing or replacing property damaged through their deliberate, reckless or negligent actions.

Before charging for damage, the Camp should provide reasonable information about:

  • The property affected.
  • The nature of the damage.
  • The repair or replacement cost.

Guests should secure their belongings and report any loss promptly. The Camp’s responsibility for lost or damaged property is subject to the circumstances and applicable law

20. Force majeure

Neither party will be treated as having failed to perform an obligation where performance is prevented by an event genuinely beyond reasonable control.

Such events may include:

  • Severe weather.
  • Flooding or fire.
  • Natural disasters.
  • Epidemics or public-health restrictions.
  • Civil unrest.
  • Government restrictions.
  • Closure of access roads, reserves or airstrips.
  • Major transport disruption.
  • Other comparable emergencies.

Where possible, Jacaranda Bush Camp will communicate promptly and offer reasonable alternatives, rescheduling or refunds as required by the circumstances and applicable law.

21. Website availability

We aim to keep the website, availability calendar and booking system accurate and operational. Temporary interruption may occur because of maintenance, network problems or third-party services.

A room appearing available during a search is not guaranteed until the booking has been confirmed.

Guests must not attempt to interfere with the website, booking system, payment process or security features.

22. Intellectual property

Website text, branding, photographs, graphics and other original content belonging to Jacaranda Bush Camp may not be reproduced or used commercially without permission.

Guests retain ownership of their personal photographs, subject to reasonable rules concerning privacy, safety, wildlife protection and restricted areas.

23. Privacy and personal information

Jacaranda Bush Camp may collect and use personal information to:

  • Process reservations and payments.
  • Communicate with guests.
  • Provide requested services.
  • Manage safety and legal obligations.
  • Prevent fraud.
  • Improve guest service.

Information may be shared with payment processors, activity providers, transfer operators or authorities where necessary for the booking or required by law.

Personal information will be handled according to applicable Kenyan data-protection law and the Camp’s Privacy Policy.

24. Complaints

Guests should raise concerns as soon as possible so the Camp has a reasonable opportunity to resolve them during the stay.

A complaint should include:

  • The guest’s name.
  • Booking reference.
  • Description of the concern.
  • Relevant dates.
  • Any supporting photographs or documents.
  • The requested resolution.

Complaints may be submitted using the contact information on the website or booking confirmation.

Nothing in these terms prevents a guest from using any lawful consumer-protection or dispute-resolution process.

25. Governing law

These terms and any direct booking with Jacaranda Bush Camp are governed by the laws of Kenya.

The parties should first attempt to resolve any dispute through good-faith communication. If a resolution cannot be reached, either party may pursue an available remedy before a competent Kenyan court or other authorised dispute-resolution body.

26. Statutory rights

Nothing in these terms limits or excludes a right or remedy that cannot lawfully be limited or excluded.

If any provision conflicts with mandatory Kenyan law, the mandatory law will apply and the remaining provisions will continue to operate where possible.

27. Changes to these terms

Jacaranda Bush Camp may update these terms to reflect operational, legal or service changes.

The terms applying to a booking are those accepted when the reservation is confirmed, unless a later change is required by law or expressly agreed with the guest.

28. Acceptance

By selecting the acceptance checkbox and completing a booking, the guest confirms that they have read and accepted:
